Every step shows what we do and what you do - so there are no surprises, and your team always knows where the project stands.

    Property Review

    Before anyone visits, we look at the basics: how old the community is, how many units it has, whether it sits in Oncor or AEP Texas territory, and what heating and cooling equipment is already installed. This desk review tells us quickly whether a smart thermostat program, an HVAC retrofit, or a broader incentive project is the right starting point.

    What you do: Share a few basics: property address, unit count, and who to contact onsite. That is usually enough to begin.

    Onsite Inspection

    We schedule a walk of sample units to confirm eligibility on the ground: the thermostat and HVAC equipment in place, how units are metered, and the practical realities of working in an occupied community. We collect the documentation the program needs and photograph what matters, so nothing has to be re-verified later.

    What you do: Provide access to a sample of units and point us to your maintenance contact. We coordinate around your schedule.

    Program Approval

    We assemble the qualification package and confirm the community is eligible under the current utility program rules. Because incentive programs change year to year, we verify against the program that is actually in effect for the current program year rather than assuming last year's terms still apply.

    What you do: Approve moving forward. We handle the program paperwork and eligibility confirmation.

    Scheduling & Resident Communication

    We prepare resident notices and build an install schedule that works for the community. Clear, advance communication is what keeps an occupied-unit project calm: residents know when we are coming, what to expect, and how long it takes. Your onsite team stays informed without carrying the coordination load.

    What you do: Review and approve resident notices. We distribute them and manage the schedule.

    Installation & Tracking

    Installers complete the work unit by unit, documenting each one as they go. We track access issues, no-shows, and anything that needs a return visit, and we resolve them rather than leaving gaps. The result is a complete, verifiable record of what was installed where.

    What you do: Little to nothing. We manage installers, access, and issue resolution day to day.

    Final Reporting

    We compile the per-unit documentation, photos, and program paperwork into a clean closeout package. This is the record ownership and the utility program need, organized so the project closes cleanly and stands up to review.

    What you do: Receive the closeout package. Nothing left on your desk to chase down.

Frequently Asked Questions

How long does the whole process take?
It depends on community size and scope - a thermostat program on a mid-size community moves faster than a full HVAC retrofit. After the property review and onsite inspection, we give you a realistic schedule rather than a generic estimate.
How much of this does my team have to handle?
Very little. You provide basic property information, sample-unit access, and a maintenance contact. From scheduling through closeout, we carry the coordination load.
What happens if a unit can't be accessed on install day?
We track it and schedule a return visit, so coverage is complete and documented rather than left with gaps. Issue resolution is built into the installation step.
